Privacy notice
Last updated 18 October 2026. This notice covers this website, the demo form and the Ask Onvane assistant. If your organisation uses Onvane, the data in your workspace is covered by your customer agreement instead.
Who we are
Onvane is run by its founding team ahead of incorporation, and we are responsible for the personal information described here. We will add our registered company details to this notice once the company is formed.
What we collect
- When you request a demo: your name, work e-mail, company, the tool you use today, your team size, whether you're interested in the pilot, and anything you tell us about how your team works.
- When you use Ask Onvane: your questions and the answers, with a random session number that isn't linked to your name. If you type personal details into a question, they are stored with it - please don't.
- When you visit: standard server logs (IP address, browser, pages, time) kept for security and to stop abuse.
- Cookies: only what the site needs to work. We don't use advertising or cross-site tracking cookies.
The assistant and AI
Ask Onvane's answers are written by Claude, an AI model made by Anthropic, which processes your question on our behalf. Answers can be wrong; they aren't advice, and nothing the assistant says forms part of a contract. Anthropic's commercial terms don't allow it to train its models on our data.
Why we use it
- To reply to your demo or pilot request and arrange the call - because you asked us to.
- To see which questions people ask, so we can improve the site and the product - our legitimate interest, using questions without names.
- To keep the site secure and stop misuse - our legitimate interest.
We don't sell personal information, and we don't add you to a mailing list unless you ask.
Who we share it with
Only service providers who help us run the site, under contracts that limit what they can do with it: our hosting provider Cloudflare (global network), our e-mail provider Zoho, and Anthropic for the assistant. Some of them process data outside your country, including the United States and the European Union; where the law requires, we use contract safeguards for those transfers. We'll disclose information if the law requires it.
How long we keep it
- Demo and pilot requests: 24 months after our last contact, unless you become a customer.
- Assistant questions and answers: 12 months.
- Server logs: 90 days.
Your rights
You can ask to see the information we hold about you, correct it, delete it, or stop us using it. Write to us at the address below and we'll reply within 30 days. You can also complain to the data protection authority where you live.
The site isn't intended for anyone under 18.
